Step-by-Step Guide: Submitting HRD Corp Training Claims in eTRIS

1. Accessing the eTRIS System

  • Log in to the Training Provider’s eTRIS account.
  • Click Applications > Claim.
  • Select Submit Claim With Grants – TP.

Click Claim at the Action Column (Only approved grants with completed trainings/events will be displayed)

Provide the contact details of the Officer to be Contacted or select Others if the name is not in the record system and then click Next

Verify the information (pre-populated from the Grant application) then click Next

Fill in Trainer Information (updated by Training Provider) then click Next

Key in Trainee Attendance (updated by Training Provider) then click Next

Update trainee attendance (75%) by clicking Edit, selecting Yes and clicking Update, after updating, click Save then click Save

3. Updating Trainee Attendance (75% Minimum Requirement)

  • Click Edit, select Yes, and click Update.
  • Click Save, then click Next.

4. Uploading Attendance Data

Training Providers have two options for uploading daily attendance records:

Option 1 – Selecting the training date in the calendar and click Search

  • Select the training date from the calendar and click Search.
  • Mark trainees as Present or Absent and click Save.
  • Ensure attendance is updated for each training day and attach the T3 Form. Click Next.

Option 2 – Uploading via Excel

  • Select training dates using Selective Date (press Ctrl to highlight multiple dates).
  • Click Download Trainee Attendance List (Excel format).
  • Open and save the Excel file to your desktop.
  • Tick Upload Excel File to Yes, browse for the saved file, and click Add Attachment.
  • The system will auto-update attendance based on the Excel file. Ensure accuracy before saving.
  • Attach the T3 Form and click Next.

System will generate the trainee attendance list in Excel format (please open and save the Excel in the desktop)

Tick Upload Excel File to Yes, browse the Excel file save in the desktop and click Add Attachment

The system will upload trainee information based on the Excel file, please ensure that only the trainee who attended was updated to “present”, and “absent” for those not attend, then Save The Attendance Data, please make sure the listing was uploaded for everyday training and please attach the attendance T3 form and click Next

5. Finalizing the Submission

  • Fill in the Training Provider Declaration Form.
  • Attach required documents (see below).
  • Click Save & Submit to complete the application.

Note: HRD Corp may request additional documents for verification.

Important Document Requirements

1. JD/14 Form

  • Required for claim approval (Manager level and above).
  • Can only be approved after training completion.
  • Must be completed by the Training Provider and submitted to the employer for declaration.

2. T3 Form

  • Training Providers must ensure trainees sign daily attendance records.
  • For online training, trainee details must be filled, but physical signatures are not required.

3. Invoice Requirements

  • Must be addressed to Pembangunan Sumber Manusia Berhad (HRD Corp).
  • Description must include employer’s name, training program title, and training date.
  • SST number must be indicated on the invoice.

Application Submission & Payment Processing

  • Claims are successfully submitted after clicking Save & Submit.
  • HRD Corp processes claims and payments within seven (7) working days.
  • Training Providers will receive a claim approval letter via email once the claim is approved.
